When an agency recruits on behalf of a client, the team translating the business question may differ from the team approving participants. Recruitment becomes harder when qualification changes travel through several people without a shared record. A clear handoff reduces ambiguity about who is required and who can decide.
Translate the client request into a participant profile
Ask what each proposed audience can contribute to the research question. “Marketing executives” may include budget owners, campaign operators, agency managers, and product marketers with very different experiences. Define the responsibilities and recent decisions that matter before choosing job titles.
Confirm which details the recruiter can share in outreach, including the topic, sponsor disclosure, format, and incentive. Ensure the participant description is accurate without revealing confidential client strategy or screening answers.
Establish one approval process
- Name the person who approves profiles and a backup decision maker.
- Agree on what a reviewable profile contains and how it will be shared.
- Set a practical approval turnaround so suitable participants are not left waiting.
- Distinguish a qualification rejection from a preference among qualified candidates.
- Document changes to quotas, geography, or experience windows in the shared brief.
If the client adds a new requirement after recruitment begins, assess its effect on existing candidates and timing before promising delivery. Tell the recruiting team explicitly whether earlier profiles remain eligible.
Keep participant communication consistent
Participants should know whom to contact for scheduling, access problems, and payment questions. They should not receive conflicting instructions from the client, agency, moderator, and recruiter. Assign ownership of confirmations and communicate last-minute changes through an agreed route.
Report progress by stage
Separate outreach, screened candidates, qualified profiles, approvals, confirmations, and completed sessions. A list of profiles does not indicate how many sessions will occur. Review difficult quotas and pending decisions during fieldwork while there is still time to adjust.
